Terms of Service

These Terms & Conditions (“Terms”) apply to all bookings with Way Out West (“we”, “us”, “our”). By making a booking you accept these Terms on behalf of yourself and anyone you book for.

1. Booking & Payment

1.1 How to book

Bookings are made via our booking system. Your place is held once we confirm availability.

1.2 Payment

Group walks / Women Only Walks / Sunrise & Sunset Walks / Navigation Courses: Full payment is due at the time of booking unless we agree otherwise in writing.
Bespoke days and multi-day trips: A non-refundable deposit of 50% secures the date. The balance is due 28 days before the start date.

1.3 Late payments

If a balance is not received by the due date, we may release your place. We will always try to contact you first.

1.4 Prices

Prices are per person unless stated. We reserve the right to change prices before you book. Once you have paid, your price is fixed.

1.5 What’s included / not included

Included: qualified leadership/instruction, route planning, group safety equipment.

Not included: personal kit, food, transport, parking, accommodation (unless stated), and personal travel insurance.

There will be a small charge for hire of head torches for Sunrise and Sunset Walks; details are listed on the walk information pages.

2. Cancellation Terms

2.1 If you cancel

More than 7 days before the start: 50% refund (or a one-time date transfer if we are able to re-sell your place).
Within 24 hours of the start, or no-show: No refund. You may request to transfer your place to another person who meets the participation requirements; please notify us in writing at least 48 hours before the start.

Tip: If you are unsure whether you can attend, consider travel insurance that covers cancellations (see Section 5).

2.2 If we cancel

We may cancel or significantly alter an event due to severe weather, instructor illness, insufficient numbers, or any safety concern. You will be offered:

A free date transfer, or
A full refund of monies paid.

We are not liable for any other costs you may incur (e.g., travel, accommodation).

3. Poor Weather & Safer Alternatives

The mountains call the tune. If conditions are unsafe or unsuitable — high winds, storm risk, elevated water levels, snow or ice without appropriate skills and kit, or extreme heat — we may:

Change the route or venue (e.g., a lower-level alternative, different valley or fell);
Shorten the day or adjust start/finish times; or
Reschedule to another date if no safe alternative exists.

Our goal is the best day out within safe limits — adventurous in spirit, sure-footed in judgement.

4. Kit List — What to Bring

A good day out starts with good kit. You are responsible for arriving properly equipped for the conditions. As a guide:

Essential — all seasons

Sturdy walking boots or shoes with grippy soles
Waterproof jacket and waterproof over-trousers
Insulating mid-layer(s) and a spare warm layer
Wicking base layers (avoid cotton)
Hat and gloves (pack even in summer)
20–30 L daypack (larger for wild camping)
Food and high-energy snacks; 1 L water (more in warm weather)
Personal medication; blister care; sunscreen & sunglasses
Fully charged phone

Seasonal & event-specific additions

Cold / wet: extra warm layers, spare gloves, buff
Hot / sunny: sun hat, extra water and electrolytes
Navigation courses: compass (e.g., Silva-type), notebook & pencil, any maps we specify
Wild camping: suitable tent, sleeping bag & mat, stove & fuel, cookware, food, water treatment, extra layers, pack liner / dry bags

We may refuse participation if your kit is inadequate for safety. If unsure, ask us in advance — we are happy to advise and may be able to lend you some kit.
